Automobile Workshop:
Gen Auto
Gen Auto is a typical independent automobile workshop operating in
Kuala Lumpur since 2004. The workshop offers a variety of services from general repairs to tyre
alignment
The Problem:
The problems faced by auto workshops will come as no surprise. All car
owners know the importance of keeping track of a vehicle’s servicing and maintenance history. In
reality however, this is not common practice and this prevents the workshop from conducting preventive
maintenance often making the task of identifying problems a lot more tedious.
From an operational standpoint hiring clerks with the right skillsets
i.e. familiar with the automobile industry and possessing basic accounting skills, is not an easy task.
Without some industry experience, the clerks will have difficulty identifying parts and services rendered
making a simple task like preparing a bill harder than usual.
Corporate customers operating a fleet of vehicles on the other hand
prefer getting an aggregated bill each month as opposed to receiving it on ad hoc basis. The old system
made this process tedious and very manual. It may come as news to many, but Gen Auto operates a commission scheme
for its mechanics. The lack of a proper system makes it difficult for commission payments to be
made because tracking is manual. Unnecessary time is spent on tabulating commissions rather than on
revenue generating activities.
The Solution:
By implementing Smart Workshop, Gen Auto is able to digitally capture
and manage customer vehicle information. Historical records of returning customers can be retrieved
from the system by simply keying in the vehicle’s plate number. The system also manages corporate
fleet accounts for aggregated billing.
Clerical staffs are able to use the system to organise inventory. It is
user-friendly, requiring little technical knowledge of neither the automotive industry nor accounting
background to operate the system. The system also allows Gen Auto to keep track of the work done
and assigned to mechanics thus accurately accounting for commissions.
Conclusion:
Workshop owner Mr. Wong was happy to report that with the
implementation of the system, operating turnaround time decreased and as a result increased business. He is now
more confidence of catering to the needs of corporate clients. Operations manager, Mohammad was
pleased to receive numerous positive feedback from many satisfied customers. Internally, employee
morale is better with commissions accounting no longer an issue. With this in place, Gen Auto
is set for a smooth ride ahead!
